A spreadsheet should shorten research, not replace it. This guide turns every find into a sequence of checks you can repeat before money or a parcel moves.

A spreadsheet is an index, not a quality certificate

The useful part of a Sugargoo spreadsheet is speed: it groups source links that would otherwise be scattered across Chinese marketplace searches, social posts and old bookmarks. The dangerous part is the same speed. A clean card can make an expired listing, wrong variant or copied photo feel more certain than it is. In 2026, treat every spreadsheet row as a lead. It tells you where to begin checking; it does not prove that a seller will send the pictured item, that the current price belongs to your chosen size, or that the item is lawful to import into Germany.

A reliable directory therefore shows its work. At minimum, a record should expose the destination URL, the catalog title, product ID, category, price snapshot, image, date checked and category-specific QC questions. Those fields let you detect change. A vague row with only a thumbnail and a buy button gives you no baseline when the seller edits the listing. Open the live record and identify the exact variant

Start by opening the matching catalog record in a new tab. Confirm that the URL resolves, the product ID has not changed and the image still corresponds to the entry you selected. Read every available option. The lowest displayed price may belong to a different colour, size, bundle or deposit. If the source title is truncated or generic—some shoe records are literally labelled with a number—do not invent a more convincing name. Use the ID, selected option and image as the identity of the order.

Save a screenshot that includes the chosen variant, quantity, seller price and domestic shipping. For clothing, also save the size chart. For an accessory with many styles, capture the option image rather than writing only “black” or “version 2” in a note. This small evidence pack is more useful than remembering what the page looked like. Convert the price without confusing it with delivered cost

The USD values in this directory are reference conversions, not checkout quotes. They use the European Central Bank reference rates published for 29 July 2026: EUR 1 equalled USD 1.1380 and CNY 7.7000. That implies about USD 0.1478 per CNY before payment-provider spreads or platform exchange adjustments. A CNY 300 listing is therefore roughly USD 44.34 at that reference point. The live charge can differ, and the rate should be recalculated when you actually pay.

Delivered cost has several layers: seller price, seller-to-warehouse delivery, optional inspection or packing services, international freight, insurance if chosen, German import VAT, customs duty and possible carrier handling. Keep them on separate lines. Do not use a spreadsheet price as proof that a product is cheap after shipping. Shoes and padded jackets can create high volumetric weight; electronics can require a more expensive battery-compatible route. Use warehouse photos as a decision gate

Standard photos cannot prove authenticity, long-term durability, exact fibre composition, battery health, waterproofing or electrical compliance. They also cannot provide a measurement that was never placed next to a ruler. If a missing fact changes your decision, request the specific view or measurement while the item remains in China. A useful request is narrow: insole length in centimetres, jacket chest width laid flat, zipper shown in both positions, model label, or all included pieces in one frame.

Apply a different QC checklist to every category

Generic QC language is one reason spreadsheet pages become thin. Shoes need left-right symmetry, insole length, sole bonding and box-volume checks. Jackets need chest and sleeve measurements, zipper travel, lining, filling distribution and a realistic packed-size estimate. T-shirts need collar shape, side seams, print centring and garment dimensions. Headwear needs front, side and rear views because crown shape and brim alignment disappear in a flat overhead photograph.

Accessories and electronics need even more precise questions. Confirm dimensions, included parts and moving hardware for an accessory. For an electronic item, record model, plug, voltage, battery type and route eligibility. A screen that lights up does not prove radio compliance, battery condition or safe long-term operation. Resolve uncertainty before international parcel submission

Review new arrivals promptly and keep a simple ledger of arrival date, QC status, after-sales deadline and parcel decision.

Recalculate the parcel for Germany under the current rules

Germany import planning changed on 1 July 2026. European Commission and German Customs guidance now describe a temporary EUR 3 customs duty per item classification for distance-sale consignments with an intrinsic value not exceeding EUR 150. Imported goods are also generally subject to VAT; German Customs lists the standard import VAT rate as 19 percent, with a reduced rate for certain goods. The exact treatment depends on the goods, declaration, value and collection method.

This makes accurate itemisation more important, not less. Do not call a commercial purchase a gift, understate the contents or assume a route name guarantees tax-free delivery. Check whether VAT is collected through an eligible mechanism, what the carrier may collect at delivery and whether the products face safety or import restrictions. Keep enough budget for taxes, duty and handling outside the freight quote. A spreadsheet can help organise the calculation; it cannot waive customs law.

Keep the spreadsheet current instead of endlessly expanding it

A smaller set of maintained records is more useful than thousands of stale rows.
